A lot of people think that you need to hire a technologist to register for bulk SMS on a distributed ledger technology (or DLT) platform. This is a misconception. The process is very user-friendly, and most businesses can complete it in under a week without needing any technical knowledge.
Although some blog posts are unclear and confusing, I am going to give you the 2026 version.
In short, DLT is the system built by the TRAI (Telecom Regulatory Authority of India) to confirm who is sending commercial SMS to customers in India. For each business, sender ID, and message template, registration is mandatory on the system before any promotional or transactional SMS can be legally sent.
In the end, customers never get your messages. There are no error messages, no bounces, just an SMS that doesn't get to the customer. It is at the network level and it seems your messages are not going out, but it is likely due to a missed registration.
You will need the following documents for registration once you are ready to start the bulk SMS registration on the dlt. For a company, these would be the company PAN, the GST Certificate, and an authorization letter. Letterhead is needed to accompany the authorization document. For a proprietorship, documents needed would be the proprietor's Aadhaar and mobile number linked to it, as well as the owner's PAN and proof of business activity, which can be a shop and GST registration certificate. To cut down on the time it takes for registration, this can all be compiled and scanned in advance.
The three main operators in India provide their own DLT services: Airtel, Jio, and Vodafone Idea. Most of the services are interconnected across telecom operators to provide delivery across networks. This means most businesses will only need to register on one DLT platform.
This is the segment where you will enter your business information, along with PAN and GST, and add an authorized signatory. The business details will be verified by the government, which is the most time-consuming, though it usually takes 2 days to complete the verification.
This is your 6-character code that can replace a random number for your customer, such as VWLDGT as your header for Vowel Digital. This is not transferable, so you will not be able to use this if you do not register it.
Templates of all the messages you will send, including one-time passwords, messages about order status, and promotional offers, need to be submitted to the system in advance. The system looks beyond the template to ensure that it is classified correctly (i.e., transactional or promotional) and approves the template for the relevant route.
After your entity, sender ID, and templates are approved, your bulk SMS provider links them to your account, enabling you to send campaigns. It is at this point that a lot of businesses work with a provider who has experience dealing with all the nuances of setting up a system. This is because a small mismatch between a registered template and a message that is sent is often the reason for rejection when the message is sent.
Entity registration normally takes one to three working days after documents are submitted. Approval of sender IDs normally takes twenty-four hours after entity approval. Template approval is the fastest step and clears within a few hours, but can take up to a day if the template wording is not in line with the description.
Businesses that are working with a service provider who has dealt with common reasons for rejection move through the three steps much faster the first time compared to business that are setting the system up themselves for the first time.
Common Reasons Of DLT Registration Rejection Registrations get rejected because of a mismatch in the business name on the PAN and the name provided in the application form. Rejections also occur if variable fields such as the name of the customer or order number are not populated using the proper syntax of the placeholder in the platform. The otherwise automated system also never fails to identify a template submitted for a transactional purpose, which includes offering a discount, as a promotion—a rejected template for sure!
Registrations also get reviewed, approved, and implemented in an order. Adding new sender IDs, launching new types of campaigns, and changing messaging require a new template approval. Businesses get surprised when TRAI compliances change and they get blocked with templates at the registrations, which they thought they could do, and forget about for a long period.
The dislike that TRAI has for non-compliance is known. The process of registration at TRAI for bulk SMS isn't that tedious. It needs to be noted that most of the challenges created are by small inconsistencies in the documentation and template wording. The best way to improve campaign delivery is to properly structure and provide documents and templates at the time of submission. It is best to have a specialist on board to review documents and templates before their submission.
Most businesses complete entity, sender ID, and template registration within three to five working days provided the documents are correct.
For DLT registration, companies need their GST certificate, PAN, and their letter of authorization. Proprietorships only need PAN, Aadhaar-connected mobile number, and business proof.
The registration process for most entities is free or almost free, though some DLT service providers charge a small fee for the registration of sender ID or templates.
An agency is not mandatory. However, a reputed bulk SMS service provider can avoid potential rejection reasons and speed up the process.
When your SMS reaches a customer, the six digit code in place of your phone number is your sender ID or header.
The main reasons are incorrect formatting of placeholders, an incorrect name of the business or use of promotional text in the transactional template.
The registration of an entity is valid for a long time and there is no need for renewal. However, new templates and new sender IDs require new registrations of their respective categories depending on the messaging.
The registration for the entity and sender ID is the same for both of them, but the approval of templates is done based on their respective categories and their content and route.
